Bilflo

Bilflo is a back-office management and business intelligence software that helps staffing and recruiting agencies to automate their back-office workload, manage ongoing client relationship, and provides business intelligence needed to grow the business. 

To connect your Bilflo account to your agency in Top Echelon Recruiting Software:

  • Access your Bilflo.com Account
  • Go to Settings and then select the Company option on the left side menu
  • Copy the contents of the API Access Key
  • Copy the API Key provided

  • Within Top Echelon Recruiting Software, expand the Sidebar in the top right corner of the software and click on the Settings icon 
  • Click to expand the Addons & Integrations section and then select Bilflo Integration

  • Paste the Bilflo-provided API key into the text box

  • Click Save to complete the connection

Note: Any Top Echelon user with their  Manage System-Wide Integrations permission set to Yes can access and manage this connection.


Permissions

Once the connection has been made, access to Bilflo features is controlled on a user account basis. The default permission is set to Yes, meaning all users will be able to see and interact with Bilflo functionality within Top Echelon Recruiting Software. So action must be taken to hide functionality for each user who should not have access.

To change a user's Bilflo permission:

  • Expand the Sidebar in the top right corner of the software and click on the Settings icon 
  • Click to expand the My Agency section and then select Manage Users

  • All users on the account will populate on the left side of the Manage Users page
  • Click on the edit icon to the right of the person you wish to set Bilflo permissions for

  • Under the user’s Permissions on the right side of the User Profile, click to expand the Addons & Integrations section
  • To the right of Use Bilflo, set the appropriate permission
    • Yes = this user will see the Bilflo card displayed in records and has the ability to access Bilflo features
    • No = this user will not see the Bilflo card displayed in records and does not have the ability to access Bilflo features

  • Make sure to click the Save button in the bottom left corner once your changes have been made

Using the Integration

People

Once the integration has been enabled, a Bilflo card will be added to all People record Datasheets.

  • If the person does not exist in Bilflo, the card will read:
    • This Person is not associated with a Contractor record in Bilflo
  • Click the Send to Bilflo button to copy this person's data to your Bilflo account

  • The following fields are required to transfer a person record:
    • First Name
    • Last Name
    • State
    • Email
  • If the person does exist in Bilfo, the card will read 
    • This Person is associated with a Contractor record in Bilflo
  • Click the View in Bilflo link to view this record within Bilflo's system


Companies

A Bilflo card will be added to all Company record Datasheets.

  • If the company does not exist in Bilflo, the card will read:
    • This Company is not associated with a Client record in Bilflo
  • Click the Send to Bilflo button to copy this company's data to your Bilflo account

  • Note: Only the Company Name field is required
  • If the company does exist in Bilfo, the card will read:
    • This Company is associated with a Client record in Bilflo

  • Click the View in Bilflo link to view this record within Bilflo's system


Jobs

Unlike People and Company records, there is no Bilflo card displayed on the main Job datasheet. Instead, job data is sent to Bilflo via the Placement Form on a job. You are able to send multiple placements on the same job.

  • After filling out a placement form, click the Send to Bilflo button that appears in the bottom right of the form

Depending on the type of Job, there are associated required fields that must be completed in order to send placement data to Bilflo.

  •  Both Company and Candidate are required for all Job types
    • If the connected company and/or candidate records do not already exist in Bilfo, completing this process will automatically add them
    • Connected candidates are required to have both State and Email data in their records
  • Job Title is also a required field for all placements
  • For a Contract job, the following fields are required:
    • Start Date
    • End Date
    • First Week Ending Date (this is calculated for you base on the Start Date)
  • For a Direct Placement job, the following fields are required:
    • Start Date
    • Expected Pay Date 

Once a placement has been created in Bilflo, you can click the  View in Bilflo link to view this placement data within Bilflo's system.
