Creating and Adding Records to a Hotlist

In this article, we will look at creating and adding records to Hotlists in Top Echelon Recruiting Software. Hotlists are like online filing cabinets where you can store and categorize records. The Hotlist function gives recruiters quick and easy access to custom lists of People, Company, or Job Order records.

There are several different ways to add candidates to a Hotlist which are explained below:

  • From a Datasheet
  • From a list (search results, another Hotlist, or a Pipeline)
  • Directly within an existing Hotlist

To add a record to a Hotlist from a Datasheet:

  • Navigate to the corresponding Person, Company, or Job Order Datasheet and locate the Hotlist card
  • Click on the pencil icon in the top right corner of the card

  • To add the record to an existing Hotlist, find and select the appropriate Hotlist(s) you wish to add the record to
    • The list will default to show Hotlists that belong to you specifically (Hotlists where you are listed as the Owner)
    • Select Shared Hotlists if you wish to view a list of Hotlists that have been shared across the firm
    • You can also utilize the Find box to locate the appropriate list

  • To add the record to a new Hotlist, click the Create New link in the bottom left corner of the window

  • Once you’ve selected the appropriate Hotlist(s), select the corresponding Category you wish to drop them into, if applicable
  • Click the Save button


To add multiple records to a Hotlist from a list:

  • Navigate to a list of search results, another Hotlist, or a Pipeline
  • Select the records you wish to add using the checkboxes to the left of each name
    • OR select the top box to select ALL records in your list

  • Click to expand the action icon and select Add to a Hotlist

  • To add the records to an existing Hotlist, find and select the appropriate Hotlist(s) you wish to add the record to
    • The list will default to show Hotlists that belong to you specifically (Hotlists where you are listed as the Owner)
    • Select Shared Hotlists if you wish to view a list of Hotlists that have been shared across the firm
    • You can also utilize the Find box to locate the appropriate list

  • To add the record to a new Hotlist, click the Create New link in the bottom left corner of the window

  • Once you’ve selected the appropriate Hotlist(s), select the corresponding Category you wish to drop them into, if applicable
  • Click the Save button


To add records directly from an existing Hotlist:

  • Navigate to the corresponding Hotlist
  • Click the +Add People link at the top of the Hotlist, to the right of the ALL RECORDS view

  • Select the Category you wish to drop the candidate(s) into
  • Start typing the candidate’s name in the Find People text box and you’ll notice that matching results will begin to populate underneath
    • Click to select the matching candidate name(s)

  • Click the Add Records button when complete
