Calendar Invites

The Calendar Invites feature allows users to send an invitation email when a Person, Company, or Job Record with a Contact is linked to a Scheduled Activity, helping to keep their clients', contacts' and candidates' schedules in sync with their own!

To send an invitation email from a Datasheet:

  • Navigate to a Person, Company, or Job record
  • Navigate to the Open Activities card or Activities tab OR look to the right side Panel to find the Schedule an Activity Icon

  • Click Schedule an Activity
  • Add at least one Related Person Record, Company Record, or Job Record with a Contact that has a valid email address associated with it
  • Click Yes on the toggle labelled Send invites?

  • All related records will receive invitation emails once the Activity is scheduled
    • If there are any attendees you wish to NOT receive an invitation email, you may uncheck the box next to their email address
    • If any attendee's Record does not have an associated email address, you will see the following warning, and no invitation email will be sent to that person.

  • Click Schedule or Schedule & Add Follow Up to save the activity and send selected invitation emails

To send an invitation email from the Planner:

  • Navigate to the Planner
  • Click Schedule an Activity in the upper right corner
  • Add a Related Person Record, Company Record, or Job Record with a Contact
  • Click Yes on the toggle labeled Send Invites?
  • All related records will receive invitation emails once the Activity is scheduled.
    • If there are any attendees you wish to NOT receive an invitation email, you may uncheck the box next to their email address
    • If any attendee's record does not have an associated email address, you will see the following warning, and no invitation email will be sent to that person.
  • Click Schedule or Schedule & Follow Up to save the Activity and send selected invitation emails

To view attendees' RSVP Status:

  • Navigate to the Planner, or any Person, Company, or Job Record associated with your Scheduled Activity
  • Find and click on your Activity
  • An icon for Yes, No, Maybe, or No Response will appear with each Person record according to their RSVP status
  • Bell Notification will also appear by default when an attendee's status changes
    • Preferences for this notification, such as the ability to receive an Email Notification when an attendee's RSVP status changes, can be adjusted from the Manage Notifications Settings page under the Activities section

Sending Event Update & Cancellation Emails:

  • If you delete a Scheduled Activity, you will see an option to send Cancellation Emails to associated attendees
  • If you change or edit an Activity's type, date, time, or body text, you will see an option to send Update Emails to associated attendees
  • If you add a new attendee to an existing Scheduled Activity, you will see an option to send Invitation Emails to newly-added attendees
  • If you remove an attendee from an existing Scheduled Activity, you will see an option to send Cancellation Emails to removed attendees
