Mentions
Mentions allow you to tag any active user via Quick Note or Activity in People, Company, and Job records. You can mention multiple users in a single Quick Note or Activity. Mentions will help your team effortlessly communicate and collaborate internally without having to do so outside of the software
To mention a user in a Quick Note:
- From any record, open the Timeline and click Add Quick Note
- Along with the text of your note, enter the @ symbol followed immediately by an active user's name
- Use either your cursor or your keyboard arrow keys to select the name of the matching user you want to mention
- Click Save when complete
The system requires at least one letter following the @ symbol before matching users will be displayed. Both first and last names will be searched. However, the system will prioritize a user's first name. So these matches will appear higher than users with matching last names.
To Mention a user in an Activity:
- From any record, select Log an Activity or Schedule an Activity
- In the Description field, enter the @ symbol followed immediately by an active user's name
- Use either your cursor or your keyboard arrow keys to select the name of the matching user you want to mention
- Selecting Related Records will tie this Mention to each of these records
- Click the corresponding Log or Schedule button at the bottom when complete
The system requires at least one letter following the @ symbol before matching users will be displayed. Both first and last names will be searched. However, the system will prioritize a user's first name. So these matches will appear higher than users with matching last names.
Receiving Mentions and Notifications
You will receive notifications when you are mentioned by another user or yourself in a new Quick Note or Activity or if your mention is edited by another user. You will not receive notifications for edits to Mentions that you have made yourself. Both system and email notifications are enabled by default.
- System notifications will contain the user who tagged you as well as a link to the Mention itself
- Email notifications will contain the text of the Mention as well as links to any related records (with a maximum of 10)
Clicking the links in either type of notification will open the Mention in an Edit window, allowing you to make changes or add-on.
If the mention is in a Quick Note or is an Activity tied to a single record, that record will also open in the background behind the edit window
To change your Mentions notification settings:
- Expand the Sidebar in the top right corner of the page and click on the Settings icon
- Click to expand the My Account section and then select Manage Notifications
- Locate Mentions under the Activities header
- Click to toggle off the type(s) of Mention notifications you no longer want to receive
