Automations: Send Email Action

"Send Email" is an available Action when creating an Automation. Selecting this option will send an email to the selected candidate(s) when a specified trigger is fired.

Adding to a new Automation

• Open the Create New Automation window
• Select Send Email from the Action drop-down menu

• Choose the Shared Email Template you want to be sent when the trigger fires
  • Note: Only Templates that are shared with the agency will be selectable

The To field will be auto-populated based on the Trigger associated with this action.

• Triggers Move to Pipeline Stage, Disqualify from Pipeline Stage, and Move to a Person Hotlist Category will be sent to the candidate(s) selected when the Trigger is fired
• Triggers Move to a Job Hotlist Category and Move to a Company Hotlist Category will be sent to the primary contact(s) assigned to the Job or Company datasheet selected when the Trigger is fired

The From field will also be auto-populated based on the Email Template you select for this Action.

• If the template's From Address is set to "Unspecified", the section will auto-populate with "User Performing Trigger"
• If the template's From Address is set to a specific user, the section will auto-populate with that user's email address.

• Select when you would like this email to be sent. The default setting is Immediately. However, you can elect to set a future date and time by clicking this drop-down menu and selecting Specify.
  • If the date in the future falls on a weekend, the email will instead be sent at the specified time on the following Monday

Once the Automation is configured, it will be visible to and activated for all users in your agency. All users, regardless of permissions, will be able to send the associated email when they perform the associated Trigger. Tip: You can learn more in the main Automations article.

You can view and edit your future scheduled emails in the Automations Log.

Please note: When a Send Email action is assigned to a Move To Pipeline Stage trigger, moving candidates en masse to a trigger Pipeline Stage will prompt individual emails to each of these candidates. These emails will count toward your email limit.
