Automations: Send Email Action

This feature is only available on the Professional Tier

When creating an Automation, you'll have the ability to select Send Email as an available Action. Selecting this option will send a standard email when a specified Trigger is fired.

To add the Send Email Action to an Automation:

  • Start by creating a new Automation
  • After entering your Automation details and corresponding Trigger, select Send Email from the Action drop-down

  • The Schedule field can be used to select when you would like this email to be sent. The default setting is Immediately
    • You can elect to set a future date and time by clicking this drop-down and selecting Specify instead.
      • If the date in the future falls on a weekend, the email will instead be sent on the following Monday

  • Set the appropriate From Address 
    • Selecting User Performing Trigger will always default to the address of the person triggering the automated email.
      • Checking the Append user's default signature to email template (if available) option will automatically add the senders default signature.
  • The To field will auto-populate based on the selected Trigger.

  • The Email Subject is a required field and displayed when verifying email actions before they send.
  • The Activity Type selection offers you flexibility to assign a Custom Activity Type. This could be used to help differentiate between standard and automated emails.
  • You have the option to apply a Related Job and include Attachments to the email.
    • It's important to remember that these will be included each time the email is triggered. They are often coupled with Hotlist Triggers for more specific outreach to a candidate or client on a predefined topic.
  • Enter and format desired text in the body of the message.

  • Once the Automation is configured, it will be visible to and activated for all users in your agency
  • All users, regardless of permissions, will be able to send the associated email when they perform the associated Trigger.
  • You can view and edit your future scheduled emails in the Automations Log.

Note: When a Send Email action is assigned to a Move To Pipeline Stage Trigger, moving candidates Pipeline Stage in mass will prompt individual emails to each of these candidates. These emails will count toward your email limit
